Implementation of 1C:PEM in British American Tobacco (Kazakhstan)

BRITISH AMERICAN TOBACCO KAZAKHSTAN TRADING Limited Liability Partnership (hereinafter referred to as BAT KT, the Company) is part of the British American Tobacco group of companies, a tobacco company with over a century of successful development history and the widest geography of operations. The group of companies is a leader in more than 50 countries of the world, it owns 50 factories for the production of cigarettes in 41 countries of the world. The company in Kazakhstan is represented in all major cities with a central office in Almaty.

In 2020, the Company's management decided that it was necessary to switch from the current accounting system to a new one based on the software product "1C:Enterprise 8. Payroll and personnel management for Kazakhstan" (version 8.3.) (hereinafter 1C:PHR) with full adaptation to the specifics of maintaining business processes in the Company. Previously, the Company has already used 1C software products, which have proven to be stable and reliable and flexible enough to be customized to BAT CT regulations. ACIT Plus LLP (AMEGA group of companies) was chosen to implement the software solution in the Company - hereinafter referred to as the Contractor. Our choice was influenced by the recommendations of their former clients, the experience of implementing similar 1C systems, the presence of a team of specialists and the adapted, author's methodology for the implementation of the project by Nikolaeva E.N., as well as the availability of author's developments "AlS: Personnel Accounting and Payroll". As a result of the work carried out on the implementation of the system, all open questions on the maintenance of personnel records were resolved. Automation based on the 1C:PHR product allows our Company to quickly receive reports and keep records in this area of the business process. Achieved effect from the implementation of the system:

  1. 100% Elimination of triple entry of employee data (in 1C:Accounting, SAP ERP and MS Office).

  2. More than 2 times reduction in the time for registering an order on the movement of an employee (recruitment, relocation, dismissal, vacation, recall from vacation, business trip).

  3. Automation of the process of forming a time sheet.

  4. Automation of the process of registration of disciplinary sanctions with entry into an electronic personal file.

  5. Automation of the process of registration of non-material incentives by entering into an electronic personal file.

  6. Automation, digitalization of the electronic personal file of an employee with a complete package of data and analytics.

  7. Creation of an electronic archive of all attached personnel data (passport, identity card, certificates, etc.).

  8. Increasing the speed of reporting on personnel by more than 5 times.

  9. Minimize data loss and increase the speed of processing personnel data by the payroll service by more than 2 times.

  10. Automation of the monthly payroll process, taking into account changes in the approved monthly accrual.

  11. Automation of settlements on Writs of execution.

  12. Automation of the calculation of the annual bonus and other calculations.
