Implementation of 1C: Document management in KAZ Minerals companies (Kazakhstan)

In the KAZ Minerals group of companies and its enterprises Vostoktsvetmet LLP (mining and processing of ore), Vostokavtotrans branch (transport services) and Vostokenergo LLP (electricity, heat and water supply services), the process of harmonization of technical specifications and contracts was fully built , but did not have an automated task management system that would be integrated with the procurement accounting system. As a result, according to the plan for the modernization of information systems, the software product "1C: Enterprise 8. Document management KORP for Kazakhstan" was chosen. The main reason for choosing a software solution was its flexibility, the use of other 1C software solutions and the ease of integration with them, as well as the speed of its implementation. LLP "Vostoktsvetmet" held a tender for the selection of suppliers, where the partner was determined as the winner - LLP "AlS Plus" (AMEGA group of companies). Key results obtained by the Customer during implementation:

  1. Integration with Purchase Orders from a department (1C: PEM system) in terms of approving attached files - technical specifications - made it possible to completely digitize the process of coordinating technical specifications between the purchase initiator and all coordinating employees. The result allows you to clearly control the responsibility for the characteristics of purchased goods and services, store files in a single place and save at least 15 minutes of working time searching for the approval history and the final version of the document. The final versions are stored in both 1C: Document Management and 1C: PEM.

  2. Integration with Counterparty Agreements (1C: PEM system) in terms of approving attached files - draft purchase and sales contracts - made it possible to completely digitize the process of agreeing contracts between the purchase initiator, the procurement specialist and all coordinating employees. The result allows you to clearly control the responsibility for the characteristics of the purchased goods and services, store files in a single place and save at least 30 minutes of working time searching for the approval history and the final version of the document. The final versions are stored in both 1C: Document Management and 1C: PEM.

Thus, in the procurement business process, two key issues of harmonizing the textual content of the two most important documents were resolved: technical specifications for purchased goods and services, as well as contracts with suppliers. Processes are digitized, transparent and fully controlled, while users have a convenient interface for approval and spend less time completing tasks. At the moment, the system has been in pilot operation mode since 12/07/2021, the transition to commercial operation is directly related to the complete abandonment of the old IFS and ERA Finance accounting systems with a complete transition to 1C: Production Enterprise Management (PEM).
